Expenses & net profit

Revenue is only half the story. Add what your business pays — hosting, AI APIs, tools, domains — and Metricneed shows your monthly burn, the charges coming up and your real profit next to revenue.

What to track

Open Expenses in the sidebar and add each cost by hand. Pick a known service (Vercel, OpenAI, GitHub, Figma…) to get its logo and category, or type any name. Each expense has an amount per charge, a currency, a billing cadence and a category.

  • Recurring — monthly, yearly, quarterly, weekly, or every N days, weeks, months or years.
  • One-off — a laptop, a logo, a lifetime deal: charged once, on the date you paid it.

How renewals are scheduled

The first charge date anchors every renewal: a subscription started on the 12th renews on the 12th. When the anchor day doesn't exist in a month, the charge lands on the month's last day — a subscription billed on the 31st charges on February 28 (29 in leap years) and back on March 31, never drifting. Don't know the original date? Enter your next renewal date instead; the subscription counts as active right away.

When you cancel, choose Mark as ended: charges stop after that date but past ones stay in your profit history. Deleting an expense removes its history as well.

Monthly burn & yearly run-rate

Monthly burn is what your active recurring expenses cost per month: a yearly subscription counts for a twelfth, a quarterly one for a third, a weekly one for 52 ÷ 12 weeks. One-off costs and ended subscriptions are excluded. The yearly run-rate is the monthly burn × 12.

Expenses & net profit on the dashboard

Add the Expenses and Net profit widgets from the dashboard's widget picker, or plot Expenses and Net profit in a custom chart next to revenue. Both follow the dashboard's date range:

  • Expenses are the charges that fall inside the range — every renewal and one-off dated in it.
  • Net profit is revenue on the selected Net / Gross basis minus those expenses. Expenses carry no tax split, so the same amount is subtracted on both bases. It can be negative.

Product and provider filters don't apply to expenses: they belong to the business as a whole. The weekly report adds an Expenses & profit section once you track at least one expense, and the MCP server can answer questions like “what renews in the next 30 days?”.

Currencies

Each expense keeps its own currency. Totals are converted to your primary currency with the European Central Bank's reference rates: past charges at the rate of their own date, like revenue, and the monthly burn and upcoming charges at the latest rate, like MRR.

Privacy

Expenses and net profit never appear on public dashboards: the expense widgets and metrics can't be added there, and existing public pages never serve them.

Plan limits

The Free plan tracks up to 5 expenses — ended and one-off ones included. Starter and Pro are unlimited. See Plans & quotas.
